THE PICNIC TRIBE

TERMS & CONDITIONS

These are the standard terms and conditions.

All work undertaken by The Picnic Tribe shall be on these terms unless specifically varied in writing and agreed to by both parties prior to the event.

 

Payment 

All of our picnics require a 50% retainer that is non-refundable and due at least 10 days before your booking. This retainer covers styling and coordination and is needed to secure the date of your picnic. The remaining balance must be paid at least 72 hours prior to the event. If the client fails to pay the remaining balance at up to 72hours prior to the event, then their picnic experience will be canceled and no refunds will be made per our cancellations & refund policy. 

 

If your picnic is booked less than 10 days before the event then the full payment is required.  Payment can be made by a bank deposit or transfer. You will receive a receipt on your email right after you complete the process.  Bank deposits and transfers take up to 48h (two working days) to be finalised so when it does you will receive a confirmation email from The Picnic Tribe.

Bad weather

In the event of bad weather, the client is notified at least 72h in advance and they are given the option of rescheduling their event with no extra charges. In case the client wants to continue with their event on their selected date, when they are already informed about the probability of bad weather, they lose the right to reschedule. Reschedules can not be made one day before or on the day of the event

Cancellations & Refund policy

We don't offer any refunds but we will reschedule your picnic or issue a credit if you cancel up to 72 hours in advance. 

- 72hours before the event or same-day cancellations or no shows will not be issued a credit.

We do not give any refunds in case your event must be postponed due to bad weather or if one or more of the quests do not show up. The client can make changes on the number of guests up to 10 days before the event, upon availability. After that, no changes can be made. 

Covid 19: In this uncertain environment, we understand that you may appreciate some flexibility with your bookings. Therefore, if our services are restricted due to Covid – 19 government regulations and we can no longer service your booking then you will be able to transfer your booking and all monies paid, to any available date in the future. Should you decide to CANCEL your booking or postpone to a date for which we are already booked, then the cancellation policy as outlined above will apply. 

Bookings

No booking will be held without a 50% retainer.

If your picnic is booked less than 10 days before the event then we will only be able to offer the set up without any food and drinks. 

 

Equipment

All the picnic equipment belongs to The Picnic Tribe and is to be returned in the same condition as you found it. Any loss or damage to the equipment will be charged for accordingly. Stains to linen and equipment will be cleaned accordingly and may result in dry cleaning or professional cleaning charges. 

Not all equipment is suitable for all terrains and weather conditions therefore the decor of your picnic experience will depend on your personal preferences but also on the weather conditions and location. 

Rescheduling

If you wish to reschedule due to other circumstances, we will require a minimum of 72 hours notice and must be approved by The Picnic Tribe booking team. Availability varies.

Travel

A travel fee will apply for locations that are outside of central Nicosia. This includes every location outside a 25km radius from Nicosia city center. 

 

Vouchers

All gift vouchers and credit notes are valid for 1 year. No extensions are available, and vouchers or credit notes are not redeemable for cash. Our picnic gift vouchers can be used for picnics on any day except on Valentine’s day, Woman's Day, Mother's Day and National holidays. 

Menus

All Picnic Tribe grazing platters  are subject to change, depending on seasonal produce availability. We reserve the right to replace an item on the menu with something equally as gourmet and delicious.

Terms of Service

Location: The nature of the picnic is access to public spaces. The maps we provide to clients are meant to serve as a guide. We may take liberties with set up to allow for the best experience possible. We may move a picnic for any number of reasons, some of the most frequent are safety, privacy (we cannot control who will be in a public space and when,) access to shade, views and other reasons. We cannot guarantee an exact location although we will do our best to acquire access to said location. If we cannot garner access, we will set up in another suitable location nearby. All local rules, signs, laws and other permissions apply. We cannot guarantee privacy in public spaces, as there will be people. In case you select a location that is not on our list and ultimately is not suitable for picnics due to security or other reasons, then we have the right to deny service. 

Changes: If you are not sure about the exact number of guests, you can just estimate for now and give us the final guest number max 10 days before the event. The price will change accordingly. Keep in mind that the higher the number of guests, the lower is the price per guest.  

Weather: All reservations are weather permitting. In the event of a rare rain, we will do all we can to accommodate a dry picnic either by moving the location or by rescheduling you to another day or time. No refunds will be issued for weather-related changes. Keep in mind that if it is windy on the day of your event, we might not be able to set up any umbrellas, tents or any other equipment that might be dangerous if it falls down.

UPDATE: Starting from 10 of November 2022, we will be able to offer a waterproof tent for all picnics up to 12guests.

Food: Please be sure to let us know of any food sensitivities before booking. All our platters are prepared by different local grazing platter specialists. Please know that they prepare food in a kitchen where cross-contamination is possible. They cannot guarantee cross-contamination won’t happen.

Safety: We take the utmost care in cleaning and maintaining furniture and decor items. Please only use these items in the manner which they were intended.
